General Description:
Provides administrative support to the SVP and the Programs Division. Provides general assistance on projects in Campaigns and Programs.
Specific (Essential) Responsibilities:
·Organizes the SVP’s time, including scheduling all appointments and meetings; makes travel arrangements and travel itineraries.
·Develops and manages systems to insure that information that comes to or from the SVP moves quickly and appropriately. Manages information in a logical way that meets the needs of the SVP.
·Support the work of the Political and Campaigns Committee and the Issues and Accountability Committee of LCV (including Scorecard, Presidential and Congressional endorsements, Dirty Dozen, Environmental Champions and Independent Expenditure Campaigns).
Supports the work of the Environmental Table including taking minutes, ensuring follow-up, sending out agenda and maintaining membership.
§Supports department programs and projects as needed; may research assigned topics, assist with database management, etc.
·Support the work of the LCVEF Program Committee (including The Heat Is On, list work, and civic participation).
·Provides support for all meetings and media events scheduled by the SVP making sure SVP is prepared for the meeting. Prepares presentations for SVP. Prepared board presentations and board reports in proper format. Ensures timely and proper correspondence and follow-up from SVP with current and potential donors.
·Provides back up to other staff as requested.
·Provides general administrative support to SVP and others in Campaigns and Data Departments; prepares and submits timesheets and reimbursement requests, maintains contacts lists. Handles check requests for SVP and others in the department.
·Other duties as assigned.
Requirements:
·Education: College degree preferred.
·Work experience: Prefer some administrative assistant experience, preferably with non-profit organizations; experience answering and screening phone calls, with attention to accuracy and detail, as well as to needs of callers; experience with travel and meeting arrangements.
·Skills: Proficient with word processing and spreadsheets (Windows, Microsoft Word, Excel, Outlook, PowerPoint), and phone systems; use of the Internet including Google search; experience in support of more than one person. Good written and oral communications skills; demonstrated confidentiality and reliability; attention to details.
·Capabilities: Solid judgment; critical thinking skills; a sense of teamwork and community; ability to handle multiple tasks and work for several people; highly organized; able to function in a demanding and fast paced environment; maintain confidentiality, and interest in politics and environmental issues desirable.
·Conditions Able to work occasional overtime to get the job done.
